Who we are
RollBook is school administration software operated by Neotech C & S, Neemuch, Madhya Pradesh, India, and run by Sunil Jadhaw. This policy explains how we handle personal information when schools use RollBook.
Information we process
Schools using RollBook enter and manage information needed for school administration, such as student and guardian contact details, class and attendance records, and staff account details. We also process limited technical information needed to secure and operate the service, such as sign-in and audit records.
How we use information
We use this information only to provide, secure, support, and improve RollBook for the school that provided it; to communicate service-related messages such as staff invitations and password resets; and to meet legal obligations. RollBook has no advertising, does not sell personal information, and does not use school data for advertising.
Sharing and storage
We do not share school data except with service providers that help us operate RollBook, when a school directs us to do so, or where required by law. Data is hosted in India on AWS infrastructure in the Mumbai region. Data is encrypted in transit and at rest and protected with access controls, but no online service can guarantee absolute security.
Retention, access, and deletion
The school controls its records in RollBook. A school may request an export or deletion of its data by contacting us. We retain information only as needed to provide the service, meet legal obligations, resolve disputes, and maintain security records.
Children's information
RollBook is provided to schools, not directly to children. Schools are responsible for having the authority to provide student information and for communicating with parents or guardians where required.
Face recognition for attendance (optional)
A school may choose to mark attendance by recognising children's faces on the school's own phones or tablets. When it does, recognition happens on that device: no photograph or video is sent to RollBook or stored anywhere. What RollBook stores for each enrolled child is a face template — a short set of numbers derived from the face, about 500 bytes, which cannot be turned back into an image and is meaningful only to the same recognition model. It is used solely to mark that child's attendance for that school and is never shared with any other organisation.
The school decides whether to use this feature and is responsible for obtaining a parent's or guardian's consent, or for relying on its own lawful authority and notifying parents, before a child's face is enrolled. RollBook provides a consent page the school can send to parents and records the answer. A template is deleted immediately when consent is withdrawn or refused, when the school removes it, or when the child leaves the school.
